1. Who We Are

Ideal Conditions Heating & Air Conditioning, Inc. ("Ideal Conditions," "we," "us," or "our") is a veteran-owned HVAC contractor headquartered at 1617 Rowe Ave, Jacksonville, FL 32208. This Privacy Policy explains how we collect and use information when you visit idealconditionsjax.com (the "Site") or otherwise interact with us about service.

2. Information We Collect

2.1 Information you give us

When you submit a contact form, request an estimate, or book a service appointment on the Site, we collect the details you provide — typically your name, phone number, email address, service address, and a description of the work needed. If you call our 24/7 service line, we record the same kinds of details as part of the dispatch ticket.

2.2 Information collected automatically

Like most websites, our hosting and analytics providers automatically log standard request data — IP address, browser type, referring page, pages visited, and timestamps. We use this to understand how the Site is used and to keep it reliable. Specifically, we use:

• Google Analytics 4 (loaded directly via Google's gtag.js) for aggregate traffic metrics. Google may set cookies in your browser to support this. Learn how Google uses information from sites that use its services.
• Google Ads conversion tracking to measure actions — such as form submissions and interactions with our booking and call options — that originate from our ads, and to support remarketing. This may set cookies to attribute a conversion to an ad click. When applicable consent settings permit, enhanced-conversion measurement may send Google normalized, one-way hashed contact details after we accept a form submission; we do not include raw email or phone values in analytics events.
• Meta Pixel to measure Facebook and Instagram ad performance and support remarketing. Meta may set cookies or receive event data such as page views and lead actions.
• Microsoft Clarity to understand Site usage through interaction measurements such as page navigation, clicks, scrolling, and device or browser details.
• ServiceTitan Scheduling Pro and Dynamic Number Insertion to provide online appointment booking and help us understand which marketing source led to a call or booking.
• Postmark to deliver contact-form submissions to our staff when you choose to send us a message.
• Cloudflare for content delivery, performance, and security. Cloudflare logs request metadata and may issue cookies to detect abuse.

2.3 Cookies and similar technologies

Cookies and similar technologies are used by some of the providers listed above for analytics, advertising measurement, security, scheduling, and call attribution. Our first-party attribution script does not write ad click IDs or campaign tags to local storage, session storage, or a browser-readable cookie. When a tagged visitor moves between pages, those values may be sent to a same-origin server session for up to one hour. The browser receives only an opaque Secure, HttpOnly, SameSite session identifier. If you submit a contact form, we may retain the advertising identifiers and hashed contact details in private, encrypted measurement records so we can reconcile the inquiry with later service outcomes and prevent duplicate reporting. We remove query strings from the landing-page and referrer details included with form submissions. Most browsers let you block or delete cookies and site storage through their settings — doing so will not prevent you from using the Site, but some features may behave differently.

2.4 Embedded video

Pages with embedded YouTube videos load content from youtube.com or youtube-nocookie.com. The "nocookie" variant defers cookies until you actively interact with the player. Google's own privacy policy governs that data.

3. How We Use Your Information

We use the information you provide and the data we collect to:

• Respond to your inquiries, schedule appointments, and dispatch technicians;
• Provide estimates, invoices, warranty records, and follow-up service;
• Send service reminders, appointment confirmations, and (only if you opt in) marketing or specials emails;
• Improve the Site's performance, content, and accessibility;
• Detect, prevent, and address fraud, abuse, or technical issues;
• Comply with applicable Florida and federal law.

4. How We Share Information

We do not sell your personal information. We share it only with:

• Our technicians and dispatch staff, who need it to perform the requested service;
• Operational providers we rely on — including ServiceTitan for scheduling, dispatch, and call attribution; Postmark for contact-form email delivery; Cloudflare for hosting security and delivery; payment processors; financing lenders (only if you apply); and email or SMS delivery vendors — who handle data to provide those services;
• Advertising and analytics providers — including Google, Meta, and Microsoft Clarity — which receive online identifiers and interaction data to provide measurement, reporting, security, and advertising features;
• Government agencies or other parties when required by law, subpoena, or to protect the rights, property, or safety of Ideal Conditions, our customers, or the public.

5. Data Retention

We retain customer records — service history, invoices, warranty registrations — for as long as required to support warranty claims, tax compliance, and applicable Florida record-keeping rules. Advertising measurement records are retained only as long as reasonably needed for attribution, reconciliation, duplicate prevention, security, and applicable legal or business requirements. Marketing-list data is retained until you unsubscribe. Analytics data ages out per our providers' configured retention windows.

6. Your Rights and Choices

You can:

• Request a copy of the personal information we hold about you;
• Correct inaccurate information;
• Ask us to delete your information, subject to legal record-keeping obligations;
• Unsubscribe from marketing emails at any time via the link in each message, or by contacting us directly;
• Opt out of Google Analytics by installing the official browser add-on.
• Manage Google Ads personalization through your Google Ad Settings.
• Manage Meta ad personalization through your Facebook or Instagram ad preferences.

To exercise any of these rights, contact us using the information in §10 below. We'll respond within 30 days.

7. Security

We use industry-standard administrative, technical, and physical safeguards to protect the information you provide. The Site itself is served over HTTPS with HSTS enforced. No method of transmission over the Internet is 100% secure, however, and we can't guarantee absolute security.

8. Children's Privacy

The Site is intended for adults arranging HVAC service for a home or business. We do not knowingly collect information from children under 13. If you believe a child has provided us with personal information, please contact us so we can delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we'll revise the "Last updated" date at the top of the page and, for material changes, post a notice on the Site for at least 30 days. Continued use of the Site after a change indicates acceptance of the revised policy.
